GENERAL SUMMARY OF DUTIES: The Administrative Assistant will assist in overseeing and ensuring quality administrative processes and support functions for the Division Office. Supports the Division Chief Financial Officer, Controller and finance team as required. JOB RESPONSIBILITIES: Evaluate, plan for, and implement efficient and high quality administrative support processes for the CFO and division officeSolicit input from division leaders regarding the effectiveness of administrative support processes and functionsProvides direct administrative support to the CFO and Controller as required, including calendar management, meeting notification and preparation, and coordination of internal communication initiativesImplements and reinforces the HCA Corporate Records Retention Policy, is the administrator of recordsEnsures that division contracts are reviewed and executed in accordance with corporate guidelines for the same; establishes official division contract files in accordance with corporate guidelines for the sameOversees and ensures adequate supplies for the division office including but not limited to water, coffee and food supplies as needed. Recommends and reinforces approved office protocol for all division staff, including attendance, punctuality, safety, dress, and personal hygiene standardsProvides corrective action as is needed for assigned office support staffServes as an internal resource for division office staff regarding effective use of systems, equipment, and understanding of division and corporate administrative policiesOversees / Plans / and coordinates meetings within the Division Office; maintains meeting room schedules. Handles food orders as required for the meetings at division.Establishes and maintains relationships with vendors in the area, including cleaning contract, hotel contracts, and catering contracts Oversees day- to-day issues with office, restrooms, lights, water leakage, etc.Produces and maintains Division Staff Schedule (where staff is) for Division Chief Financial Officer.Performs other duties within the scope of this classification as assignedQualifications: EDUCATION:* High School Graduate required* Associates of Bachelor degree in business administration is preferredQUALIFICATIONS:* Five (5) plus years of administrative experience required* Prior experience with executive level support* Knowledge of general management principals* Ability to handle confidential information appropriately* Proficient at Microsoft Word, Excel, Outlook and Power Point* High degree of flexibility required* Excellent interpersonal skills* Excellent organizational skills* Displays extraordinary customer service skills in person, telephone and written communications* Ability to multi-task and work independently with minimum supervision * Detail oriented* Proven ability to work in a fast paced, high stress environment is essential* Ability to effectively communicateCompany Description:At its founding in 1968, Nashville-based HCA was one of the nation's first hospital companies.
